A clear complaint process gives staff a consistent way to respond, helps customers understand what happens next and turns recurring issues into operational improvements.
Start with the requirements
Choose one or two channels for receiving complaints and record the customer’s contact details, order reference, issue, date and preferred outcome. Acknowledge receipt promptly, explain the next step and give a realistic response time. Assign an owner so the customer does not have to repeat the story to multiple people.
Build a repeatable process
Use a simple escalation path for safety concerns, repeated failures, payment disputes or issues that frontline staff cannot resolve. Record the investigation, decision and customer communication. Review complaint categories each month to identify patterns such as unclear product information, delivery problems or recurring defects.
Check the latest guidance
Consumer-protection obligations depend on the product, transaction and applicable UAE rules. Confirm legal duties with the relevant authority and do not use a private complaint policy to restrict statutory customer rights.
