Quality control should begin before goods leave the supplier, not only after a shipment arrives. A defined process helps importers compare delivered products with the agreed specification.
Start with the requirements
Write clear product specifications covering dimensions, materials, performance, packaging, labelling and acceptable defects. Agree on inspection stages, sampling methods and what happens when goods fail. For complex products, consider an approved sample or pre-shipment inspection before placing a large order.
Build a repeatable process
At receipt, record quantities, packaging condition, batch or serial information and visible defects. Photograph issues, quarantine non-conforming goods and notify the supplier within the contract’s required time. Track defect patterns and corrective actions so repeat problems influence future purchasing decisions.
Check the latest guidance
Some products require mandatory testing, conformity assessment or sector-specific approvals. Confirm the relevant requirements before ordering and do not rely on a general checklist for regulated goods.
