Most deposit disputes in Dubai are not really about damage. They are about proof. If a scuff, stain or faulty blind was there when you moved in but nobody recorded it, it can quietly become your bill when you move out. The fix takes less than an hour on move-in day: document the flat properly, share the record with your landlord or agent, and keep your copy safe until the day your deposit is returned.
Do a Slow, Room-by-Room Walk-Through
Go through the flat before your furniture arrives, when every wall, floor and corner is visible. Work room by room so nothing is missed, and open and close everything: doors, windows, wardrobes, drawers and blinds. Run the taps, flush the toilets, test the AC in each room, and switch on every light and appliance supplied with the flat.
Look for the things that commonly appear on move-out deduction lists:
- Wall scuffs, nail holes, paint marks and cracks around frames
- Scratches on floors, chipped tiles and worn or stained carpets
- Water marks under sinks, mould spots in bathrooms and loose sealant
- Stains or damage on sofas, mattresses, curtains and white goods
- Missing items, such as remotes, keys, access cards and appliance manuals
Note anything that works imperfectly, not just visible damage. A washing machine that rattles or a hob ring that does not heat is pre-existing too, and it is far easier to raise on day one than in month eleven.
Take Photos and Video That Actually Prove Something
A blurry photo of a wall proves very little. For each issue, take one wide shot showing where in the room it is, then one close-up showing the detail. Keep your phone’s date and location settings on so the files carry a timestamp, and avoid editing or filtering the images afterwards.
A single slow video walk-through is also powerful evidence: narrate as you go, naming the room and pointing out each mark. Back everything up in two places β for example, cloud storage and an email to yourself β so the record survives a lost phone.
Get the Record Shared and Acknowledged
Documentation only protects you if the other side cannot claim they never saw it. Send your photos and notes to the landlord or agent on the day you move in, by email or a message thread you can keep, with a short line listing what you found. Ask them to confirm receipt, and to note the items on the move-in condition report if your building or agency uses one.
If the landlord agrees to fix anything β a leaking tap, a broken blind, a faulty water heater β get that promise, and ideally a timeframe, in the same written thread. Then keep the thread. Informal verbal promises at the handover are the ones most often forgotten by move-out. Where your lease or addendum has space for a condition schedule, use it; a signed record is stronger than a folder of photos alone, though the two together are best.
Keep a Light Trail During the Tenancy
Good documentation does not stop at move-in. When something breaks or gets damaged during the year, report it promptly in writing and photograph it at the time, even if it seems minor. If you arrange an approved repair, keep the invoice. If the landlord’s contractor visits, note the date.
This trail protects you in both directions: it shows you reported problems rather than hiding them, and it separates genuine accidents during your tenancy from wear that was already there. It also helps to do a quick photo refresh before any landlord inspection or lease renewal visit.
Move-Out Day: Close the Loop
When you leave, repeat the same room-by-room process in the same order, ideally in daylight, after cleaning and before you hand back the keys. Photograph meter readings, empty wardrobes and the condition of appliances, and keep proof of your final DEWA and cooling arrangements as your provider requires.
Then send the landlord your move-in and move-out sets together if any deduction is proposed, politely pointing to the dated evidence. In many cases that ends the discussion. If a disagreement over the deposit cannot be settled directly, tenancy disputes in Dubai are typically handled through the Rental Dispute Settlement Centre (RDC) connected to Dubai Land Department β check current official guidance before taking that step. An hour of careful documenting on day one is the cheapest deposit protection you will ever arrange.
